Damage Signal

Data Is Missing Between Tools

Customer information exists in one system but is absent in another. Orders, contacts, and transactions are falling through the gaps.

What Operators Usually See

A customer places an order on the website but the order does not appear in the fulfillment system. A contact is updated in the CRM but the email marketing platform still has the old information. Financial transactions in the payment processor do not match the records in the accounting software. The team maintains spreadsheets to bridge the gaps between systems. Monthly reconciliation takes days because every system reports different numbers for the same period. Nobody trusts any single system to have the complete picture.

What This Usually Means

The integrations between business systems have broken silently. Data is not flowing between tools because an API key expired, a webhook endpoint changed, a subscription plan was downgraded and lost integration features, or a platform update changed the data format. Each system is operating correctly based on the data it has — but the data it has is incomplete because the pipeline from the upstream system stopped working. The business is operating on fragmented information. Decisions based on any single system are wrong because no single system has the full picture.

When This Happens

After a software subscription change that removed integration features. When API credentials expire and are not renewed. After a platform migration where integration configurations were not transferred. When a new tool is added to the stack without connecting it to existing systems. After a hosting or infrastructure change that broke webhook endpoints.
